Collaborator Agreement

1. Who this is for
This agreement applies when an Account Holder invites you to help with one or more memorial Profiles on Surnuaiapüha. You accept it before your access begins. It sits alongside our Privacy Policy and Terms of Service, which also apply to you.
2. Purpose limitation
You may use the information you see in a Profile only to help create and maintain that memorial. You may not copy, export, publish, sell or reuse it for any other purpose, including research, genealogy databases, direct marketing, or your own website, unless the Account Holder has asked you to.
3. Confidential identifiers
Profiles can contain personal identity codes, dates of birth and details of living relatives. You agree to keep these confidential, not to share them outside the Profile, and not to add such details about a living person without that person's knowledge and agreement. Do not upload documents or photographs you have no right to share.
4. Your contributions
Text, photographs and documents you add are stored under the Account Holder's Account and form part of that memorial. The Account Holder may edit, move or remove them at any time, and decides whether the Profile is public. You keep any rights you already had in your own material and grant Surnuaiapüha and the Account Holder permission to display it within the Service.
5. Access, expiry and withdrawal
An invitation you never open expires 90 days after it is sent. Once you have accepted, your access lapses automatically after 90 days without activity — we email you a reminder 7 days before that happens. The Account Holder can withdraw your access at any time, and can send you a fresh invitation whenever they wish. Lapsed or withdrawn access does not remove contributions you have already made.
6. Your own personal data
To manage your access we record your email address, your role, when you accepted this agreement (with the date, network address and browser used), and when you were last active. This is kept for as long as you have access and for six years afterwards as a record of consent. You can ask for a copy, correction or erasure of your own data, and you can complain to Estonia's Data Protection Inspectorate (Andmekaitse Inspektsioon) or the UK Information Commissioner's Office. 7. Security and reporting
Keep your sign-in details to yourself and do not let anyone else use your access. If you believe a Profile contains information that should not be published, or you notice a security problem, email support@balticmemorials.com and we will look into it.
